The Kansas County Clerks and Election Officials Association and its members wish to thank you for your interest in participating in our 2018 conference. We could not pull this conference off without your generous support.
Below you will find information on becoming an exhibitor. We also welcome sponsors of various levels.
The conference will be attended by County Clerks and Election Officials from nearly every county in Kansas. This provides you with your best opportunity to present your products and services to the decision makers from across the state during this busy Gubernatorial Election year.
The conference will take place at the Double Tree by Hilton Hotel Wichita Airport located at 2098 Airport Rd., Wichita, KS 67209. Exhibitors are responsible for their hotel reservations. The KCCEOA block of rooms will not be opened to exhibitors at this time; however, if rooms are left in the block, an e-mail will be sent opening the block to exhibitors. See our hotel information page for a list of hotels with room blocks for the conference.
The Exhibitor Registration Fee is $500 per space, for a 6ft table. Additional spaces may be purchased if you need more space. Your registration fee includes entrance to all conference meals and activities for one representative of your company. You may register additional members of your team for a fee of $200/person. Electricity is available at $50 for the conference.
You may register using our online or paper process. Checks should be made payable to KCCEOA and must be received by April 17, 2018. If you fail to pay your exhibitor fee in full by that date, your exhibit space will be released. Registrations submitted after April 17 will carry a $250 late registration charge.
Exhibitor space assignment policy
Conference sponsors will receive priority during the exhibit space assignment process, based on sponsorship level and payment date. A KCCEOA representative will reach out to all exhibitors, in order, on April 17, 2018. Any exhibitor registering after this date will have space assigned by KCCEOA.
Every year KCCEOA has a silent auction to support our scholarship fund. We would appreciate any donation you may be able to make to the auction!
A representative must be at your table when the exhibitor room is open. All exhibitors must be out of the room by 6 p.m. on Thursday, May 10.

Date Fee & Cancellations
A $100 administrative fee will be assessed for all exhibit booth cancellations. NO refunds will be given for cancellations received after April 17, 2018. NO telephone cancellations will be accepted.
Entertainment & Hospitality Policy
Entertainment or hospitality is limited to those companies, organizations or individuals who are sponsors or exhibitors at the annual conference, at a time when no conference meetings or conference-wide social events are planned. By submitting your registration fee, you agree to this policy.
The exhibitor, on submitting the application for exhibit space, expressly releases the Kansas County Clerks and Election Officials Association and its members and representatives from any and all claims of injury, loss or damage that may occur to the exhibitor, the exhibitor’s employees or property from any cause whatsoever.
